Career Tips of the Month

1. Even entry-level jobs seem to require experience these days! Here is how to find a true entry-level job that doesn't require experience:

- Instead of LinkedIn, go to Google and search Google Jobs.- Click on 100+ more jobs, type in the kind of job you are looking for in the search bar, and hit requirements.-Toggle to no-experience to find TRUE entry-level jobs.

2. Never apply to jobs blindly. Always get referrals from someone at the company BEFORE you apply. Don't know anyone in the company?

- Go to refer.meThis is a site dedicated to getting and giving referrals. Candidates have a better chance of getting a first interview if they are referred. This is usually the hardest step! You could also be a referrer and make some money. If a candidate isn't hired, it doesn't reflect negatively on the referrer, but if they are hired the referrer gets a bonus. Win-win!

3. Level up your language, level up your career:

- Don't say: "Sorry I'm Late:Instead say: "Thank you for your patience".Almost every time, your 'sorry' can be replaced with a 'thank you for'. Doing this will make you sound more confident.- Don't say: "Does that make sense?" Instead day: "What questions can I help you answer"This makes you sound sure of yourself. Confidence matters.- Don't say: "Just wanted to check in." Avoid using 'just' altogether. We use 'just' to sound more polite and avoid imposing on others. You are a valuable member of your team and asking for what you need is 100% ok! Your statement will work well without the 'just' and will level up your emails.

Introduction:The strength of good questions lies with your ability to listen, both before and after the question is asked.Do you struggle to figure out what is the best question to ask your clients or manager?Do you struggle to create rapport during meetings? Are you unable to read between the lines to uncover the clients needs or understand their motivation? The answer lies in building a better listening practice. If you fail to listen, you fail to build rapport which can lead to loss of sales, reduced motivation in employees, missed deadlines and more. It is imperative to build good listening habits to propel your career..

What is Active Listening:

Active listening is a critical skill in asking better questions. It involves paying full attention to the speaker, understanding their message, what lies beneath their message, and using that information to ask more focused and relevant questions. When people feel heard and understood, they are more likely to trust and collaborate with others. Additionally, active listening can help to resolve conflicts and build stronger, more productive teams.Hearing is a passive process while listening is an active process that requires attention and focus.

The Science Behind Listening:

When you are listening, you are using your working memory. The thing about working memory is, it can not multitask. So, for example, if you are listening to someone and your mind wanders into memory retrieval, your listening capacity is diminished. That is when you tend to miss chunks of information. So, if you are in a meeting listening. Don’t try to multitask. Avoid distractions. Stay singularly focussed on the task at hand, listening.Remember, no one can always be a good listener. You have to consciously prepare and make an effort each time you intend to be a good listener. No one has the capacity to do that 100% of the time. So go easy on yourself!

Techniques for better listening:

Before:Intention: Set your intention to be a ‘super’ listener for the duration of the meeting.Breath: Set aside a couple of minutes right before the meeting to deep breath and ground yourself. Even if it only 5 deep breaths, this makes a big difference in your physiology and body language.Rituals: Create rituals as signal to your brain, that it is time to be a good listener. This could be:
Putting on a pair of headphones that go over your head.
Silencing your phone
Checking your mic and lighting in the room
Getting your notebook ready
Read the room: Take note of your own posture. Sit up right. Also take note of everyone else’s posture, body language and energy. Be observant. This will help you build rapport.Minimize Distractions: Put your phone on silent, close extra tabs and reduce pop-ups. Minimize any potential interruptions. Prepare to take notes.

During:Observe: Take note of the speaker’s body language, facial expressions and tone of voice. This helps you gain a deeper understanding of the message.Listening to understand, not to reply: Reduce the chatter in your brain. Avoid preparing your question before the speaker is done talking. Listen to the speaker's words, thoughts and feelings without interrupting or judging with a true intention to understand.Don’t interrupt, The 5-Second Rule: Let the speaker finish talking. Count quickly to 5 in your head before you start talking. The few seconds of silence may feel awkward if you are a chronic interrupter, but trust me, it will make a world of difference.Giving feedback: This means providing verbal or nonverbal cues to the speaker that you are engaged and paying attention, such as nodding or making verbal sounds of agreement.

Reflect and paraphrase: Repeat and summarize what the speaker has said in your own words. This not only shows that you were paying attention, but it also allows the speaker to clarify any confusion, and it can help you to remember what was said.Move around: Sitting still for long periods can be challenging for some people. Try getting up and moving around for a quick few seconds if you can. It will help reset the chatter in your brain.Take notes: Taking notes can help to keep your mind focused on the speaker and their message. It can also serve as a helpful reference later on.If you struggle with quieting the chatter in your brain, interrupting, or preparing the question before the speaker is done, you need to build a mindfulness practice.Mindfulness is the practice of being present and paying attention to the present moment. Mindfulness can help to improve your focus and concentration, which are essential for active listening. Try incorporating mindfulness practices such as meditation or deep breathing exercises into your daily routine. 10 minutes a day is all you need to start with.

After:
After listening and observing it is time to further the conversation by asking your question.
Try to use open-ended questions, which allow the speaker to elaborate on their thoughts and provide more detailed information. Avoid asking leading questions, which can bias the speaker's response.
Empathy and judgement: Be mindful to show empathy and suspend your judgement. These are key elements in building rapport and trust.

Conclusion:In conclusion, active listening is an essential skill for asking better questions. By practicing the techniques discussed here, you can become a more active listener and improve your communication skills. By actively listening to others, we can greatly improve the effectiveness of meetings.

Task Management

Working towards a promotion this year? Looking to improve productivity? Or, planning to switch jobs? Start task tracking. Learning to manage your tasks is a keystone habit that will propel your career in the right direction.

I'm here to help you navigate the murky waters of task management. With so many tasks on your plate, it can be overwhelming to keep track of everything. But fear not, for I have some tips and tools to help you manage your tasks like a pro, improve productivity and reduce stress.

I'm here to help you navigate the murky waters of task management. With so many tasks on your plate, it can be overwhelming to keep track of everything. But fear not, for I have some tips and tools to help you manage your tasks like a pro, improve productivity and reduce stress.

Setting Boundaries:

Working towards a promotion this year? Looking to improve productivity? Or, planning to switch jobs? Start task tracking. Learning to manage your tasks is a keystone habit that will propel your career in the right direction.

- Firstly, make sure your priorities align with management. Use the task management template below to ensure the value-add of your tasks align with your goals and the team's goals. Use the value-add to both prioritize work and make your case to delegate or refuse tasks.

- If asked to do something that doesn’t align with your goals or will overload you, here is what you can say:

“I appreciate that, I can definitely get it done. What timeline are you looking to have this delivered in? Right now, I'm working on x y, and z, and for me to get this to you sooner I will have to deprioritize one of those, so can you tell me what's the best tradeoff?”

This will help your boss:

- Learn exactly what you are working on.
- Keep you from being assigned too much work that isn’t actually important.

-If you are assigned a non-promotable task, like planning the office party, here is how to say no:

"Hey boss, If I am assigned to plan the Christmas party, I’m in danger of missing the deadline for [this campaign/task]” or“I’ll likely not be able to deliver the assets needed for this project if I’m on the committee to plan the happy hour”

The idea is to use language to help your manager understand what will be pushed aside if you focus on this task.

Saying no can be difficult, but it is essential for effective task management. If you're already overwhelmed with work, saying yes to new tasks can lead to increased stress levels and decreased productivity. Be honest about your workload and learn to say no diplomatically when necessary.

Delegate: If possible, delegate some of your tasks to others. Delegation can help you free up time to focus on critical tasks that require your attention. To figure out what to delegate, it helps to list out your tasks and prioritize. The task management template below can help you do just that.

Focus on One Task at a Time: Multitasking can be tempting, but it's not always the best approach, it can actually make you feel overloaded. Multitasking can lead to decreased productivity and increased stress levels. Instead of trying to do multiple tasks at once, focus on one task at a time and give it your full attention. This will help you work more efficiently and reduce the risk of errors.

Organizing and Prioritizing Tasks

Once you've protected yourself from overloading on tasks, the next step is to organize and prioritize your workload. This can help you stay on track and ensure that you're working on the most important tasks. Here are some tips to help you get started:

Use a Task Management Template:

Start by listing all the tasks you need to complete, then prioritize them based on their importance and urgency. The value-add column is key here. Filling this column out with each task will help you:- Prioritize
- Help you articulate your skill set and experience for a promotion or if you decide to change jobs
Doing this on a weekly basis will save you a tonne of work at the end of the year and skyrocket your productivity. It forces you to look at the bigger picture to make sure your daily tasks align with your long-term goals. This is key to advancing your career.

Use the Eisenhower Matrix: The Eisenhower Matrix is a simple tool that can help you prioritize your tasks based on their importance and urgency. It consists of four quadrants:
Important and Urgent, Important but Not Urgent, Urgent but Not Important, and Not Urgent and Not Important. You can use this matrix to decide which tasks to focus on first.

Here's an example of how you can use the Eisenhower Matrix:

Task Management Tools

You could use a simple spreadsheet to track tasks, like above, or you could use a tool. There are many task management tools available that can help you organize your workload effectively. Some popular options include Trello, Asana, and Todoist. These tools allow you to create tasks, assign deadlines, and track progress, all in one place. Remember the best tool, is the one you will use consistently.

Trello:

Trello is a visual task management tool that allows you to create boards, lists, and cards to organize your tasks. You can assign deadlines, set priorities, and track progress, all in one place. Trello is especially useful for teams as it allows you to collaborate with others and assign tasks to team members. The interface is user-friendly and visually appealing, making it easy to navigate and use.

Asana:

Asana is another popular task management tool that offers a range of features to help you stay organized. It allows you to create tasks, assign deadlines, and track progress. You can also collaborate with others and assign tasks to team members. Asana offers a range of integrations with other tools, making it easy to use in conjunction with other software.

Todoist:

Todoist is a simple and intuitive task management tool that allows you to create tasks and assign priorities. It offers a range of features such as recurring tasks, task reminders, and integrations with other tools such as Google Calendar and Dropbox.

Getting More Done

Now, that we have learned how to list and prioritize our tasks, let's talk about how to be more efficient with your time. Here are some tips on how to get more done without overloading yourself:

Use the "two-minute rule": If a task can be completed in two minutes or less, do it immediately instead of adding it to your to-do list. This can help you tackle small tasks quickly and prevent them from piling up.Use the "Pomodoro technique": This technique involves breaking your workday into 25-minute intervals, with short breaks in between. Use a timer to stay on track and take breaks to recharge. This can help you stay focused and avoid burnout.Use a "done list" instead of a to-do list: Instead of focusing on what you still need to do, keep track of what you've already accomplished throughout the day. This can help you stay motivated and build momentum as you work through your tasks.Break down large tasks: Large tasks can be overwhelming, but breaking them down into smaller, more manageable tasks can make them feel more achievable. Use a project management tool to break down larger projects into smaller tasks, and set deadlines for each one. This will help you stay focused and make progress on the project without feeling overwhelmed.Practice "mindful task management": Take a few minutes before starting a task to set an intention for what you want to accomplish and why it's important. This can help you stay focused and avoid distractions. Intentions are powerful, use them to keep you laser-focused.Use "task batching": Group similar tasks together and complete them all at once. For example, if you need to send several emails, do them all in one batch instead of spreading them throughout the day. This can help you work more efficiently and reduce context switching.

Use "parking lot" for distractions: If you get distracted by thoughts or ideas that are unrelated to your current task, write them down in a "parking lot" and come back to them later. This can help you stay focused on your current task without losing valuable ideas.Try "timeboxing": Set a specific amount of time to work on a task, and don't let yourself work on it any longer than that. This can help you avoid perfectionism and move on to other tasks.Use "visualization" techniques: Before starting a task, visualize yourself completing it successfully. This can help you build confidence and reduce anxiety.Keep a "distraction log": Keep track of what distracts you throughout the day, whether it's social media, email, or coworkers. This can help you identify patterns and find ways to minimize distractions.Use "self-rewards" for motivation: Set small rewards for yourself after completing a task or project, such as a snack or a quick walk outside. This can help you stay motivated and make task completion more enjoyable.Do the hardest thing first: Start your day with the hardest, scariest, ugliest task. Then do the next hardest task. Work your way to the easier ones. This will help eliminate procrastination. By doing the hardest or most disliked task first, you set yourself up for success for the rest of the day.Review your progress regularly: Finally, it's important to review your progress regularly to ensure that you're on track to meet your goals. Use a task management tool to track your progress and adjust your priorities. Regularly reviewing your progress can help you stay focused and make adjustments before small issues become bigger problems.

In conclusion, effective task management is critical to staying productive and efficient in today's fast-paced work environment. By protecting yourself from overloading on tasks, organizing and prioritizing your workload, and using task management tools, you can stay on top of your workload and achieve your goals. Remember to take breaks, set boundaries, and focus on what's important to you and your team. Good luck with your task management journey!

2. Here are 5 things you don’t need in order to get a promotion:

2.1 You don’t need to be in a merit cycle. While it is true that most promotions happen in a merit cycle if there is an urgent need, many will happen off-cycle as well in order to retain key talent (you).
2.2 You don’t need to be a perfect public speaker. Keep working on your communication skills, but this is not a showstopper. You don’t need to perfect your voice before you can step into a new role.
2.3 There doesn’t need to be an open position. If you have displayed that you are key talent, they can create a position for you.

2.5 You don’t need to stay at your current company to get promoted. Just because you are switching companies, it doesn’t mean you need to enter into a new company at the same tenure. Use the company switch as a way to step up in your career.

3. 5 Best Questions to Ask at the End of a Job Interview:

3.1 What is the most important thing I can accomplish in the first 90 days in this role?
3.2 What are the skill gaps in your current team that you might be looking to me to fill?
3.3 What is your communication style with your team and how do you hold everyone accountable to perform at a high level?
3.4 What gets you most excited about this company’s future?

Sarah realized that managing her emotions in difficult conversations was a skill she needed to develop. She started doing some research and uncovered specific and unique strategies for managing emotions during difficult conversations.

In this article, we will delve into the specific strategies that Sarah discovered and the valuable lessons she learned along the way.

The Science of Emotional Management: Impact on Success in Life

Research shows that individuals who effectively manage their emotions experience better overall well-being, improved relationships, and increased career success. Emotionally intelligent individuals excel in navigating challenging conversations, leading to better outcomes and opportunities for growth.

Key Elements of a Tough Conversation:

  • Emotions run high.

  • There is a strong difference of opinion.

  • At least one of you feels defensive or argumentative.

Success Criterion:

To learn the art of honestly and completely expressing your side of the argument and still maintain a tone of respect for your partner. To be able to communicate what you need to without causing your conversation partner to feel defensive or offended.

Remember:

Don’t be afraid to hold high risk conversations AND build relationships.

What Happens When Emotions Run High:

When emotions run high we digress from the real goal of the conversation to:

  • Proving what the person just said was wrong (Winning)

  • Feeling a great need to punish the other person for what they just said. (Fight-mode).

  • Just agreeing with the person to keep the peace. (Flight-mode)

If we don’t succesfully navigate a difficult conversation and chose to avoid our true feelings, we end up with resentment which manifests itself as backbiting or complaining.

On the flip side if we over express ourselves in an unhealthy manner, we might end up with bad feelings left from an aggressive argument.

How to Handle Yourself When Emotions Run High:

When we let emotions get the better of us, the conversation becomes fruitless. Don’t be myopic. Remind yourself of what your real goal is (e.g. I want to help my employee improve their annual rating). If you feel the conversation starts to fall into a one of these holes, bring the focus back to your goal.

  • Use ‘I” statements.

  • Avoid absolutes.

  • Make them feel heard.

  • Manage your facial expressions.

  • Respond, don’t react.

  • Embrace the silence.

Use "I" Statements: Encourage Collaboration

Using "I" statements is a powerful communication technique that fosters collaboration and reduces defensiveness.

By taking ownership of your emotions and expressing them through "I" statements, you promote understanding and create a more open and receptive environment for dialogue.

When we let emotions get the better of us, the conversation becomes fruitless. Don’t be myopic. Remind yourself of what your real goal is (e.g. I want to help my employee improve their annual rating). If you feel the conversation starts to fall into a one of these holes, bring the focus back to your goal.

So, take ownership and change the narrative in your head. Changing your thoughts, changes your narrative which changes your feelings. This is all in your own control, so no one else should be blamed for the way you feel.

Practical Tips:

  • Avoid ‘you’ statements. Practice replacing all your ‘you’ statements with “I’ statements.

  • E.g. Instead of saying you make me feel angry when you shout. Say, I feel angry when I hear raised voices.

  • If you catch yourself thinking in ‘you’ statements, consciously shift to I statements. This will change your perspective on the subject and make room for growth.

  • You will begin to own your own emotions and find your power when you make it more about yourself.

Avoid Absolutes: Positive Communication

If you ever catch yourself using absolute statements like ‘You Always do this” or “He never does that”, know that you are in a bad thought pattern.

Nothing is ever always or never. It just feels that way right now.

Using absolutes in statements will automatically make your conversation partner defensive and will distract your conversation from it’s true goal.

Even if you feel strongly about something. You know it to be the absolute truth. Frame it softly. This will make your conversation partner much more likely to listen to your perspective. So, instead of saying “That’s not what happened”, say, “I remember it differently”.

Practical Tips:

  • Avoid words like “Always” and “Never”

  • Better phrase to use: “I remember it differently…”

  • Better phrase to use: “Perhaps you were unaware . . .”

  • Better phrase to use: “In my opinion….”

Make Them Feel Heard - Active Listening Techniques

The key to good communication is making your conversation partner feel heard. Every human has a need to feel heard. This is universal. If your conversation partner does not feel heard, they will not be receptive to your side of the story.

Techniques:

  • Face your partner, give them your full undivided attention.

  • Re-phrase what they said. “Let me make sure I understand you…”

  • Acknowledge any feelings they have. “I see you feel angry about this”.

  • Don’t interrupt. Let there be some silence. Use this time to think.

Manage Your Facial Expressions: The Power of Nonverbal
Communication

Facial expressions play a significant role in how our emotions are perceived during difficult conversations. To effectively manage your emotions, it's essential to be mindful of your facial expressions. Maintaining a neutral or composed expression demonstrates composure and creates a safe space for open dialogue.

Practical Tips:

  • Practice a neutral face in front of the mirror, so you have a comfortable ‘go-to’ expression during emotionally charged conversations. Keep an open posture. Uncrossed arms and legs and face your conversation partner with your whole body.

  • Be mindful of micro-expressions to keep a pulse on your conversation partner's response.

Respond, Don’t React: The Art of Thoughtful Communication

Reacting impulsively to difficult conversations can escalate emotions and hinder progress. Instead, focus on responding thoughtfully.

Embrace the silence. Take a moment to process the information, consider different perspectives, and craft a well-thought-out reply.

Responding allows you to maintain control over your emotions and steer the conversation in a more positive direction.

Practical Tips:

  • Count to 5 in your head before you respond.

  • Use active listening techniques like rephrasing and summarizing to make sure your conversation partner feels heard.

  • Body language. Face your conversation partner with your whole body and take note of how their body language changes during the conversation.

Embrace the Silence: The Strength of Unspoken Words

Silence can be uncomfortable, but it can also be an essential tool in managing emotions during difficult conversations. Embrace moments of silence, allowing yourself and the other person time to process information and gather thoughts. Silence creates space for deeper understanding and prevents impulsive reactions.

Practical Tips:

  • Ask an open-ended question and then be silent and still. This gives the other person emotional space and creates an atmosphere of safety which helps the productivity of the conversation.

  • Commit to just five minutes of daily silence as part of your mindfulness practice. This will help you create the mental space necessary to respond, rather than react, in challenging conversations.

Conclusion:

Difficult conversations are opportunities for growth and understanding, but they can also be emotionally challenging.

To navigate a difficult conversation you and your conversation partners must feel safe enough to voice opinions and feel heard. It is only when they feel safe and heard that they will be receptive to what you are trying to communicate to them.

Remember, managing your emotions allows for more constructive dialogue, enhances relationships, and leads to positive outcomes. Embrace these techniques, and watch as your communication skills flourish in both personal and professional settings.

Setting Your Path to Success: Creating S.M.A.R.T Goals for Personal
and Professional Growth

Come along with me as I share my journey of discovering the art of goal-setting. This transformative process has led to incredible growth and a profound sense of fulfillment in my life.

A while back, I found myself juggling the demands of my personal and professional life without a clear sense of direction. I knew I wanted to make an impact, be more purposeful and intentional.

However, I felt overwhelmed and unsure of where to begin. That's when I stumbled upon the transformative concept of goal setting.

The first thing I struggled with is, what kind of goals to set. Where do I even begin? I used this ‘wheel of life’ concept as a framework to help me categorize and review my life:

I sat down and reviewed how I was doing in each category to identify which area of my life needed more work. I also started intentionally scheduling time to work on each of the categories daily to help me feel more fulfilled.

Once I had my categories nailed down, I needed to get more specific with my goals. I started exploring the world of S.M.A.R.T. goals, and oh boy, it was a game-changer! This ingenious framework gave me the right framework to redefine and articulate my goals.

Once I learned to express my goals more clearly, I found a clear direction and gained momentum to achieve more than ever before.

So here is what you need to know about how to set your own S.M.A.R.T goals:

What are S.M.A.R.T Goals?

S.M.A.R.T goals are Specific, Measurable,Achievable, Relevant, and Time-bound. Let's break down each element and understand how it contributes to setting effective goals.

Specific: Your goals should be clear and well-defined. Avoid vague statements and instead, articulate precisely what you want to achieve. Specificity enhances focus and ensures you know exactly where you're headed.

Measurable: If you want to improve anything, you need to measure it. Incorporate measurable metrics into your goals. This allows you to celebrate your successes, identify areas for improvement, and stay motivated on your journey.

Achievable: While it's essential to dream big, setting unattainable goals can lead to frustration and demotivation. Ensure your goals are realistic and within your capabilities. Break down larger goals into smaller, manageable steps to increase the likelihood of success.

Relevant: Align your goals with your values, long-term objectives, and overall vision for your life. A relevant goal holds personal significance, making it more meaningful and worth pursuing.

Time-bound: Set a deadline for achieving your goals. A sense of urgency keeps you accountable and prevents procrastination. Deadlines also help prioritize tasks and maintain momentum.

Creating Your S.M.A.R.T Goals

Now that you understand the essence of S.M.A.R.T. goals, it's time to put them into action. Follow these steps to craft your path to success:

Self-Reflection: Take time to introspect and identify your passions, values, and aspirations. Understanding your true desires will guide you in setting meaningful goals that resonate with your core being.

Define Your Goals: Utilize the S.M.A.R.T framework to create specific, measurable, achievable, relevant, and time-bound goals. Write them down and make them visible to remind yourself daily of your objectives.

Break it Down: Transform bigger goals into smaller milestones. This approach makes your journey more manageable, allowing you to celebrate progress and stay motivated.

Stay Accountable: Share your goals with a trusted friend, mentor, or coach. Having someone to support and hold you accountable can provide invaluable encouragement on your path to success.

Examples of Smart Goals:

Personal Goal:

Specific: The goal clearly states what is to be achieved - practicing mindfulness meditation for 10 minutes daily.

Measurable: Progress can be tracked by monitoring the number of days the individual successfully practices mindfulness meditation.

Achievable: The goal is realistic and attainable, as it requires only 10 minutes each day, making it manageable to incorporate into daily routines.

Relevant: The goal aligns with the individual's desire to reduce stress and enhance their overall well-being.

Time-bound: The goal has a set timeframe of "over the next three months."

This personal S.M.A.R.T. goal demonstrates the individual's commitment to improving their mental well-being by incorporating a daily mindfulness practice. It allows them to focus on their personal growth and sets a specific and achievable target to work towards within a defined timeframe.

Technical Development Goal:

2. S.M.A.R.T. Goal: "Within the next six months, I will complete three professional development courses to enhance my skills and expertise in data analysis, contributing to more data-driven decision-making in our team."

Specific: The goal clearly outlines the specific action to be taken - completing three professional development courses in data analysis.

Measurable: Progress can be measured by tracking the completion of each course.

Achievable: The goal is realistic, as the individual can allocate time for online courses or workshops that fit into their work schedule.

Relevant: The goal aligns with the individual's desire to improve their data analysis skills, which will positively impact their team's decision-making process.

Time-bound: The goal has a set timeframe of "within the next six months."

This work-related S.M.A.R.T. goal emphasizes the employee's commitment to enhancing their professional skills, which can ultimately benefit their team and organization. By undertaking three data analysis courses within a specific timeframe, the individual demonstrates initiative and a focus on continuous improvement in their role.

Business Goal:

3. S.M.A.R.T. Goal: "Within the next fiscal year, our company will increase its market share by 10% through a targeted marketing campaign, expanding our customer base and product visibility."

Specific: The goal clearly outlines the specific objective - increasing market share by 10%.

Measurable: Progress can be measured by tracking the growth in market share over the fiscal year.

Achievable: The goal is realistic, as the company can allocate resources to implement an effective marketing campaign.

Relevant: The goal aligns with the company's business objectives to grow its customer base and expand product visibility.

Time-bound: The goal has a set timeframe of "within the next fiscal year."

This business-related SMART goal focuses on the company's growth and expansion by implementing a targeted marketing campaign. By aiming to increase market share over a specific period, the company sets a clear target and direction to work towards, providing a measurable outcome to assess the success of its efforts.

Conclusion:

Take the time to reflect on where you are today, and where you want to go.

Make space and silence.

Then, use S.M.A.R.T. goals as a compass to guide you toward personal and professional growth.

By applying these powerful frameworks, you'll experience enhanced focus, motivation, and a clear direction to achieve your dreams. Start setting your S.M.A.R.T goals today and embark on your transformative journey to success and fulfillment.

Digital Body Language: Navigating the Art of Virtual Communication

Today’s world is zoom-centric. Being mindful of your virtual ‘presence’ has become key and mastering the art of communication has taken on a new dimension.

During my research for this article, I came across Erica Dhawan's book, "Digital Body Language”. This book offers a wealth of strategies and practical advice on how to navigate the intricacies of virtual interactions.

In this article, we'll delve into key takeaways from Dhawan's book, backed by real-life examples and insights from other sources, to help you enhance your digital communication prowess.

Your digital presence can be broken down into these components:

- Zoom or Video Conference presence

- What does your body language say about you during video calls?
- How do you conduct yourself and communicate on video calls?

- Zoom or Video Conference presence

- What medium of communication are you using? Slack vs. email etc.
- What message is your language, choice of words, and punctuation conveying?

Let’s walk through how you can improve in each of these areas:

8 Ways to Improve Body Language in Video Conferences

1. Frame Yourself Appropriately

Your camera's field of view determines what others see during the meeting. Ensure your camera is at eye level and position yourself so that your head and upper torso are visible. Being too close can be uncomfortable, while sitting too far away may diminish your presence.

Action Tip: Set up your camera at eye level and position yourself comfortably within the frame, maintaining an appropriate distance from the camera.

2. Maintain Eye Contact

Virtual eye contact is essential for creating a sense of engagement and connection. Look directly into the camera when speaking to simulate eye contact. This gives the impression that you're speaking directly to your audience, fostering a more personal connection.
This will feel awkward at first. You will need to practice this and self-correct when you find yourself not looking at the camera. Eye contact makes a huge difference to your presence and perceived confidence, so keep at it!

Action Tip: Place a sticky note or a small image next to your camera to remind you to look into it during conversations.

3. Facial Expressions Matter

Your facial expressions are just as impactful in virtual meetings as they are in person. Smile when appropriate and show genuine interest through your expressions. A warm and attentive face can make you seem approachable and engaged.
On the flip side, you don’t want to appear fake either. Tweek your natural facial expression only slightly to be more favorable. Practice being mindful of what your facial expressions are conveying about you.

Action Tip: Practice maintaining a friendly and attentive expression during meetings to convey your involvement and interest. Observe your expression in meetings or recordings. Practice your resting face expressions in the mirror to build muscle memory. Soon, you will remember how to hold your face and expression to appear engaged and attentive.

4. Gestures and Hand Movements

Incorporate subtle gestures and hand movements to emphasize points, just as you would in a face-to-face conversation. Avoid excessive or distracting gestures, and make sure your movements are visible within the camera frame.

Action Tip: Practice using purposeful hand gestures to enhance your verbal communication without overdoing it. Here is a great example of how to do so: https://youtu.be/eIho2S0ZahI?si=zO-f8qA9zixDOr9V

5. Posture and Body Alignment

Your posture communicates confidence and professionalism. Sit up straight and avoid slouching. Remember, an ergonomic posture is a confident posture. Leaning slightly forward can signal engagement while leaning back might come across as disinterest.

Action Tip: Sit with your back straight and shoulders relaxed, projecting an attentive and engaged posture. Don’t use the armrest on your chair. This allows your shoulders to relax.

6. Minimize Distractions

Keep your surroundings clutter-free and free from distractions that may divert attention away from you. A tidy background ensures that you remain the focal point of the meeting.

Action Tip: Choose a well-lit and clutter-free area for your virtual meetings to maintain a professional appearance.

7. Active Listening

Demonstrate your engagement by actively listening. You can do this, by nodding, smiling, leaning forward, and maintaining eye contact with the speaker.
Be careful with nodding, sometimes this can signal agreement when you are simply listening and processing. Instead, consider thinking ‘I see… huummm’ and acknowledging with a single subtle head tilt.

Action Tip: Practice active listening by leaning in, maintaining eye contact, and providing verbal cues like "I see". You can also take short notes to demonstrate you are processing.

8. Use Visual Aids Thoughtfully

Leverage screen-sharing and visual aids to support your points. Engaging visual elements can enhance your message and maintain the audience's attention.

Action Tip: Practice active listening by leaning in, maintaining eye contact, and providing verbal cues like "I see". You can also take short notes to demonstrate you are processing.

What do your emails really say about you?

The Subtle Art of Digital Expression

Just as our physical gestures, facial expressions, and tone convey meaning in face-to-face conversations, our digital interactions are also rich with cues that influence how our messages are received.

In her book, Dhawan compares digital cues to a "silent orchestra," where punctuation, timing, and choice of words dictate the symphony of our communication. For instance, a simple period in a text message can inadvertently convey a sense of formality or even annoyance.

Punctuation creates a ‘tone of voice’ in your written communication. Use it wisely.

Actionable Tip: Be mindful of your punctuation and word choices. Use exclamation marks to infuse enthusiasm or gratitude, and opt for ellipses to create an open-ended, inviting tone.

The Two-Second Message

Don’t let your emails end up as TLDR (“too long didn’t read”).

Your recipient should be able to identify the purpose of your email and identify an action in the first two seconds. Be very clear in the first two sentences.

Use whitespace, points, and lists to make your emails more scannable and readable

Actionable Tip: After you write the first draft of your email, you can go through the checklist shown in this short video to build a better email writing practice: https://youtu.be/RhhosgU7g

Empathy in the Virtual Realm

Building on the foundation of empathy, Dhawan emphasizes the importance of recognizing and respecting others' emotions in digital interactions. Imagine you're leading a remote team and one of your team members expresses concerns about a project via email.

Responding with phrases like "I understand your worries" or "I can see how that might be challenging" acknowledges their feelings and lays the groundwork for collaborative problem-solving.

Actionable Tip: Incorporate phrases that convey empathy in your emails and messages. Utilize statements such as "I appreciate your perspective" or "I can relate to your situation" to show that you genuinely understand their viewpoint.

Adaptability for Effective Communication

Adapting your communication style to suit different preferences is a hallmark of effective virtual interactions. Dhawan highlights the significance of adapting to cultural norms and individual preferences. In his book "Communicate Like a Leader," Dianna Booher reinforces this idea by advocating for understanding your audience's communication style and adjusting your approach accordingly.

Actionable Tip: When collaborating with colleagues from diverse backgrounds, take a moment to learn about their communication preferences. Some prefer concise bullet points, while others might appreciate more detailed explanations.

The Power of Visual and Auditory Elements

Integrating visual and auditory cues into digital interactions adds a layer of depth that text alone can't achieve. Sending a quick video message to congratulate a colleague on their success or using a GIF to lighten the mood during a virtual meeting can foster stronger connections.

Actionable Tip: Experiment with visual and auditory elements in your digital communication. Share relevant images, use emojis judiciously, and don't hesitate to incorporate short video messages to make your interactions more engaging.

Seizing the Opportunities of Virtual Conflict Resolution

In virtual communication, conflicts can arise due to misunderstandings or misinterpretations. Dhawan advises addressing such conflicts promptly and privately. The book "Crucial Conversations" by Kerry Patterson, Joseph Grenny, Ron McMillan, and Al Switzler provides valuable insights into handling crucial conversations effectively.

Actionable Tip: If you sense tension brewing in a digital exchange, propose a private video call to discuss the matter. Video calls allow for a more nuanced conversation where you can gauge facial expressions and tones more accurately.

Wrapping Up

Erica Dhawan's "Digital Body Language" offers a comprehensive guide to navigating the nuances of virtual communication. Incorporating actionable advice and insights from other sources, we've explored the art of digital expression, the importance of empathy, adaptability, visual and auditory cues, and strategies for conflict resolution. By mastering these elements, you can establish meaningful connections, enhance collaboration, and thrive in the dynamic landscape of digital communication. Remember, just as in face-to-face conversations, the subtle cues of digital body language hold the key to effective and impactful communication in today's virtual age.

Career Tips:

1. Is your LinkedIn keyword optimized?

Smart companies don't just wait for people to apply for jobs. Instead, they hire recruiters to search LinkedIn for passive talent. These recruiters will use keywords from the job description that they are hiring to search for people who may be a good fit.

So, treat LinkedIn like a search engine. Find keywords from job descriptions you want to get hired for and put them in your profile.

Look for a detailed training session on this from Grounow soon!

2. Questions to watch out for when you are in a job interview:

Questions are hints at what you should expect in a job, so pay attention to what you're being asked.

How do you handle difficult people?
This question sounds like there is someone on the team who is either a bully or difficult to work with. The company either can't fire them yet because they are a top performer or they're going to fire them.

How do you handle miscommunication?
This sounds like there are communication issues either on the team that you will be working with or within the organization.

How do you handle ambiguity?
You're going to have a manager or supervisor who is not a clear communicator. This might end up hurting your career because they will have unclear expectations of you which you may or may not meet.

Lead with your curiosity. Dig deeper with questions to be better prepared for potential challenges.

3. If your manager isn’t providing specific feedback, ask these questions:

a. What do you recommend I continue doing that will impact my success?

b. What would you recommend I stop doing to position myself for the next step

c. What could I start doing to demonstrate that I’m ready for a promotion?

These questions are a starting point. Build further to get your valuable feedback.
